Lohfeld Consulting recently polled 100 bid and proposal industry professionals, asking: “Where could AI add the most value in capture?” The results reveal that competitive intelligence leads the field—but every stage of the capture lifecycle is ripe for AI-driven improvement.

What 100 Capture Professionals Said

When asked where AI could add the most value in capture management, respondents ranked four capture activities:

  • Win strategy development: 34%
  • Opportunity identification: 30%
  • Competitive intelligence: 24%
  • Gate review preparation: 12%

No single capture activity dominated. The spread signals that capture professionals see AI as a broadly applicable tool across the full capture workflow, not a single-function fix. Each area presents distinct opportunities worth examining.

Win Strategy Development: AI as a Capture Thinking Partner

At 34%, win strategy development ranked first among capture management priorities. The result makes sense—it reflects a growing recognition that AI is not limited to information retrieval. Win strategy is where capture lives or dies. A weak strategy produces a weak proposal regardless of how well it is written, and no amount of color review feedback can substitute for a sound strategic foundation developed early in the capture lifecycle. Capture managers are using AI to accelerate and sharpen every dimension of win strategy work. Used well, AI functions as a tireless capture thinking partner. It can challenge assumptions, surface contradictions in a developing strategy, and model how competitors might counter a proposed approach. Capture managers who use AI for opportunity identification can cover more of the market with less manual effort, surface capture opportunities earlier, and spend their limited time on analysis rather than data collection. Earlier identification also means more lead time to build relationships, conduct customer shaping, and position before competitors lock in the incumbent narrative.

Competitive Intelligence: The Top AI Capture Opportunity

24% of respondents identified competitive intelligence as the highest-value AI application in capture management, and the reasoning is straightforward; competitive intelligence is data-intensive, time-consuming, and only as good as the sources capture analysts can reach. AI tools can monitor contract award databases, parse incumbent performance records, synthesize public pricing data, and track competitor teaming patterns far faster than any human analyst working alone. Capture managers who deploy AI for competitive intelligence arrive at gate reviews with richer competitor profiles, sharper pricing benchmarks, and better-substantiated assessments of incumbent vulnerability. That analysis translates directly into stronger capture win strategies and more defensible bid/no-bid decisions.

Gate Review Preparation: An Underestimated Capture AI Application

Gate review preparation ranked last at 12%, but that number likely understates the real capture opportunity. Gate reviews require capture managers to synthesize intelligence, validate win probability assessments, confirm resource availability, and defend bid/no-bid recommendations to senior leadership. Each of those capture tasks is strengthened by structured AI support. AI can help capture teams build gate review packages faster, ensure all required data points are addressed, and flag gaps in the capture case before executives see them.

Other Opportunities to Use AI to Capture Bids

Beyond the four areas ranked in the poll, AI is reshaping several other high-value activities across the capture workflow.

  • Past performance retrieval and tailoring are other areas where AI delivers immediate returns. Capture managers can use AI to search and summarize a company’s past performance library, match relevant examples to specific solicitation requirements, and draft tailored narratives that align contract history to evaluation criteria. The result is faster, more targeted past performance packages with stronger traceability to scoring factors.
  • Pricing model development benefits from AI’s ability to process historical contract award data at scale. Capture teams can use AI to analyze publicly available award data, benchmark labor rates, and identify pricing patterns across comparable contracts. That analysis supports more defensible price-to-win estimates and reduces the time required to build a competitive pricing strategy from first principles.
